What we collect, and what we do with it.
Lawgistics Australia collects personal information from law students, universities and legal practitioners. This policy explains what we collect, why, who we give it to, and how you get it back or corrected. We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).

1. What we collect
We only collect what a form asks for. We do not buy lists and we do not scrape.
| When | What |
|---|---|
| You register interest in a placement | Name, email, university, year of study, preferred intake, area of law, and anything you type in the message box |
| You join the Academy or the court update list | Name, email, university, stage of study |
| You ask for opportunity alerts | Name, email, stage, location |
| You enquire on behalf of a university | Name, work email, institution, role |
| You are a lawyer or firm offering to help | Name, work email, firm, how you would like to be involved |
| You register interest in Lawgistics Access | Name, email, organisation if any, whether you are offering or seeking support |
| You proceed to a placement | Academic transcript, CV, statement of interest, passport details, emergency contact, dietary and medical information relevant to your safety, and insurance details |
Some of that last category is sensitive information, in particular health information collected so we can look after you overseas. We only collect it with your consent and only where it is reasonably necessary.
2. Why we collect it
To reply to you, to assess an application, to arrange and run a placement, to meet our duty of care while you are overseas, to report to your university where that is part of the arrangement, and to keep you informed about the programme if you asked us to.
We do not sell personal information. We do not use it for advertising. We do not add you to a mailing list because you filled in an unrelated form.
3. Who we give it to
| Who | What and why |
|---|---|
| Host law firm, Malaysia | Your application material, so the firm can interview you, match you to a supervisor and host you. This is a disclosure overseas. |
| Your university | Attendance, supervision and outcome information, where your faculty is involved in credit, WIL or New Colombo Plan funding |
| Accommodation and transport providers | Your name and arrival details, so you have somewhere to sleep and someone at the airport |
| Medical providers and insurers | Only in an emergency, or where you ask us to help you access care |
| Your emergency contact | Only in an emergency, in line with our emergency response plan |
| Service providers | Email, hosting and form processing. They act on our instructions and cannot use your information for their own purposes |
4. Sending information overseas
Running a placement in Kuala Lumpur means your information goes to Malaysia. That is the point of the programme and we cannot deliver it otherwise. Some of our technology providers also store data outside Australia, which can include the United States and the European Union.
Before we disclose anything overseas we take reasonable steps to ensure it is handled consistently with the Australian Privacy Principles. Malaysian privacy law is not identical to Australian law, and by applying you are consenting to that disclosure. If you are not comfortable with it, tell us before you apply rather than after.
5. The website itself
We do not set advertising or tracking cookies. Our forms send what you type and nothing else.
The site loads fonts from Google Fonts, which means Google receives your IP address in order to serve them. Our hosting provider keeps standard server logs, including IP addresses, for security and diagnostics.
6. How long we keep it
Enquiries that do not go anywhere are deleted within two years. Records relating to a completed placement are kept for seven years, because they underpin references, performance reports and any insurance or incident matter that might arise. You can ask us to delete your information earlier and we will unless we are required to keep it.
7. Keeping it secure
We limit who can see personal information to the people running the programme in Australia and Malaysia. We use reputable providers, we do not keep documents longer than we need them, and we do not store payment card details.
No system is perfectly secure. If a data breach occurs that is likely to cause you serious harm, we will notify you and the Office of the Australian Information Commissioner as required by the Notifiable Data Breaches scheme.
8. Getting your information, or fixing it
You can ask us what we hold about you, ask for a copy, ask us to correct it, ask us to delete it, or withdraw your consent to being contacted. Email nmk@lawgistics.my and we will respond within 30 days. There is no charge.
9. Complaints
If you think we have mishandled your personal information, email nmk@lawgistics.my with the detail and we will investigate and respond in writing within 30 days.
If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.
