Refund & Withdrawal Policy

Last updated: 2025 ยท Lawgistics Australia Pty Ltd

This policy outlines the conditions under which refunds, deferrals, and cancellations are handled for Lawgistics Australia programmes. It applies to both individual participants and group programmes arranged through universities or partner organisations.

PART ONE

Individual Programme Participants

1.1

Withdrawal Notice

If an individual participant wishes to withdraw from a Lawgistics programme, the student or their university must notify Lawgistics in writing immediately. Cancellation will take effect once written notice has been received and acknowledged by Lawgistics.

1.2

Refunds

Participants who voluntarily withdraw may be eligible for a refund of programme fees already paid, subject to the conditions below.

EXTENUATING CIRCUMSTANCES

In cases of extenuating circumstances, including but not limited to serious illness, incapacitation, death of a close relative, or visa refusal, fees held by Lawgistics may be partially or fully refunded. We assess each request fairly and give you our reasons in writing.

Any medical-related withdrawal must be supported by documentation from a registered medical practitioner, submitted in writing for assessment. Nothing in this policy limits your rights under the Australian Consumer Law.

Lawgistics aims to act fairly and in the best interests of students while balancing commitments to host organisations and partners.

1.3

Placement Guarantee

If Lawgistics is unable to confirm a placement by the agreed cut-off date, everything you have paid is refunded in full.

1.3A

Personal safety conversation

Before your placement is confirmed, we talk you through personal safety in Kuala Lumpur. If, after that conversation, you decide not to go, everything you have paid is refunded in full.

1.4

Deposits

Standard programme deposits are set out below. Deposit amounts are confirmed in the Programme Offer Letter or by the relevant University Programme Coordinator.

STANDARD DEPOSIT

$500 AUD

Unless otherwise stated in your Programme Offer Letter

ACCOMMODATION BOND

$200 AUD

Refundable on departure, subject to conditions in Part 3

1.5

Accommodation

Accommodation deposits or payments made in advance are often non-refundable, as these funds are used to secure accommodation with third-party providers. Accommodation providers operate under separate terms and may not be directly affiliated with Lawgistics.

1.6

Programme Activities

Any events, group activities, or trips included as part of a packaged programme are non-refundable if the participant chooses not to attend or is unable to participate.

1.7

Deferrals

Students may defer their programme subject to the following conditions:

  • Deferrals are available for up to 12 months from the original start date
  • Fees will be adjusted to reflect new programme dates, where applicable
  • A student may defer no more than twice within a 12-month period
  • All fees paid will remain credited to the student's Lawgistics account
  • PLEASE NOTE

If the deferred programme is not undertaken within 12 months, or the student defers twice and does not proceed, the standard refund policy will apply to any remaining credited fees.

    PART TWO

    Group Programmes

    2.1

    University and Partner Payments

Where a university or partner organisation makes payment on behalf of students, and a participant withdraws, the university must notify Lawgistics in writing immediately. Cancellation becomes effective once acknowledged by Lawgistics.

Universities are encouraged, where possible, to fill the vacant placement to avoid disruption to accommodation and programme planning.

    2.2

    Extenuating Circumstances

In cases of extenuating circumstances, including serious illness, visa refusal, or family emergencies, partial or full refunds may be considered, subject to appropriate documentation. We assess each request fairly and give our reasons in writing.

    2.3

    Programme Cancellation by Lawgistics

If a programme is cancelled due to unforeseen circumstances, including natural disasters, government travel restrictions, or health and safety concerns, Lawgistics will work with the university to either:

  • Relocate the programme to an alternative destination, or
  • Refund programme fees less any non-recoverable costs incurred to date
  • PART THREE

    Accommodation Bond Refunds

    3.1

    Bond Conditions

Participants accommodated in programme apartments must pay a refundable accommodation bond of AUD $200 prior to programme commencement. The bond will be refunded within 14 days of departure, provided all of the following conditions are met:

All keys and security access cards are returned

The apartment is left in its original condition

All rooms are clean and tidy

    Rubbish is disposed of appropriately

Linen and towels are returned clean and unstained

    3.2

    Deductions

Deductions from the accommodation bond may be made for:

  • Extra cleaning required beyond normal use
  • Replacement of keys or security access cards
  • Damage to fixtures, fittings, or furnishings
  • Our Commitment

Lawgistics Australia is committed to transparency, fairness and student wellbeing while maintaining strong relationships with universities and host organisations.
